  • Represents the Mandir in the community, fostering positive relationships with devotees and external organisations.

  • Resolves conflicts diplomatically, promoting unity among committee, volunteers, staff and Trustees.

VICE PRESIDENT

  • Support the President in executing the Mandir’s vision, mission and strategic initiatives.

  • Steps in to lead and make decisions in the President’s absence.

  • Coordinates with committees and volunteers to ensure efficient delivery of events and services.

  • Assists in maintaining governance standards, compliance and financial accountability.

  • Encourages teamwork, communication and harmony among all members.



SECRETARY

  • Maintains official records, meeting minutes and documentation of Mandir activities.

  • Communicate and distribute relevant documents.

  • Coordinates meeting schedules and prepares agendas.

  • Ensures proper documentation of policies, procedures and governance matters.

  • Supports smooth internal communication between leadership and committees.




ASSISTANT SECRETARY

  • Assists the Secretary in managing records, correspondence and documentation.

  • Helps prepare agendas, meeting minutes and follow-up communications.

  • Steps in to fulfill Secretary duties when needed.

  • Organises documents and maintains archives for easy reference and continuity.

  • Ensures accurate communication flow between Mandir leadership and members.


TREASURER

  • Manages all financial transactions, accounts and records with accuracy and transparency.

  • Prepares financial reports and presents them to the committee and community as required.

  • Ensures compliance with regulatory guidelines.

  • Oversees proper use of Mandir funds in alignment with organisational goals.

  • Works closely with the President and Trustees to support financial planning and accountability.



ASSISTANT TREASURER

  • Assists the Treasurer in maintaining financial records and daily accounting tasks.

  • Supports the preparation of reports and audits.

  • Helps manage receipts, donations and expenses with care and accuracy.

  • Steps in to fulfill Treasurer duties when needed.

  • Ensures continuity and transparency in all financial operations.



INTERNAL AUDITOR

  • Reviews financial records to ensure accuracy and transparency.

  • Assesses compliance with policies, laws, and accounting standards.

  • Maintains independence and confidentiality while conducting audits.

CATERING

  • Lead and coordinate all food-related arrangements for Mandir events, including festival mahaprasad, community meals and special occasions including planning menus and organising ingredients.

  • Manage a team of volunteers to ensure food preparation, serving and hygiene standards are maintained.

YOUTH CLUB

  • Build strong relations with youth and families, providing a safe, inclusive, dialogue and personal development.

  • Collaborate with Mandir committees and volunteers to organise events, manage youth programmes and encourage youth involvement in Mandir life and service.

MAINTENANCE

  • Oversee the upkeep and repair of the Mandir and community hall, including lighting, plumbing, heating and outdoor areas, ensuring a safe and welcoming environment.

  • Coordinate with contractors and volunteers to carry out planned and emergency maintenance and support the smooth running of Mandir events and festivals.

  • Monitor health and safety standards, maintain supplies and ensure compliance with relevant regulations including regular checks of fire safety and emergency systems.

STORE ROOM

  • Organise and maintain the store rooms, ensuring all items are clearly labelled, safely stored and easily accessible for Mandir and event use.

  • Track inventory levels and usage, regularly checking supplies and coordinating with the committee to reorder items as needed.

  • Ensure cleanliness, safety and organisation, disposing of expired or unused items and supporting volunteers or staff in locating and returning materials properly.

HALL HIRE

  • Manage all hall hire bookings and enquiries, maintaining the calendar, confirming availability and ensuring clear communication with hirers regarding terms and requirements.

  • Liaise with maintenance and cleaning teams to prepare the hall before and after bookings, ensuring the space is clean, safe and ready for use.

  • Handle contracts, payments and usage guidelines, ensuring all hirers follow Mandir policies and that documentation and records are accurately maintained.

 

SOCIAL MEDIA

  • Create and manage content for the Mandir’s social media platforms, sharing updates, event promotions and cultural messages that reflect the Mandir’s values and activities.

  • Engage with the community online, responding to messages, comments and enquiries in a timely and respectful manner.

  • Collaborate with community members and event organisers to gather information, photos and stories to highlight ongoing and upcoming Mandir events.

 

FUNDRAISING

  • Plan and lead fundraising initiatives and events, working with the Mandir committee and volunteers to raise funds for Mandir maintenance, programmes and community projects.

  • Build relations with donors, sponsors and local businesses, encouraging regular support and in-kind contributions for Mandir activities.

  • Manage fundraising records and communications, ensuring transparency and timely thank yous.

 

RELIGIOUS EVENT PLANNING

  • Be at the heart of organising Hindu Religious festivals and get involved in the logistics, decoration and community coordination for each festival.

 

SOCIAL EVENT PLANNING

  • Help plan and organise events to promote health, wellbeing and fun through activities like mindfulness sessions, Diwali parties, film shows and fun days.

 

SUSTAINABILITY

  • Promote environmentally friendly practices across Mandir activities, such as reducing single-use plastics, managing waste responsibly and encouraging energy and water conservation.

  • Organise educational initiatives and campaigns to raise awareness within the community about sustainable living, aligned with Hindu principles of respect for nature.

  • Collaborate with Mandir teams and event organisers to make festivals and daily operations more eco-friendly, including sourcing sustainable materials and promoting reuse and recycling.

 

GARDEN MANAGEMENT

  • Contribute to the upkeep and beautification of the Mandir garden with forward planning of seasonal planting. Perfect for those who enjoy working outdoors and want to create a peaceful and colourful Mandir environment.

 

COMMUNITY OUTREACH

  • Assist with school visits during school hours by liasing with teachers. Share our Hindu Dharma and culture with children at their level of understanding in line with their school curriculum. Build relations with local Universities and involve them in Mandir activities.

GARAGE SITE CLEARANCE

  • Oversee the organisation and clearance of the garage site, identifying items for disposal, donation or storage.

  • Coordinate volunteers and arrange necessary equipment or skip hire, ensuring the clearance is carried out safely and efficiently.

  • Maintain a clear inventory of retained items and help establish an organised storage system for future use.

CLEANING

  • Organise and oversee regular cleaning schedules for all areas of the Mandir and hall, ensuring a clean, welcoming and hygienic environment for worshippers and visitors.

  • Coordinate cleaning volunteers or staff, assigning tasks before and after events and ensuring appropriate cleaning material and equipment are available.

  • Conduct routine checks and report maintenance or hygiene issues, working closely with the maintenance team to uphold cleanliness and safety standards.
